At The Burton Hotel and Cloud 9 we are committed to maintaining the trust and confidence of our customers and visitors to our business and website. In particular, we want you to know that we do not sell, rent or trade email lists with other companies and businesses. In this Privacy Policy we’ve provided detailed information on when and why we collect personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.
Information That We Collect From You
As part of the reservation process you will be asked to provide certain information about yourself including your name, contact details, room or table preferences and credit or debit card information. We use that information to contact you if we need to obtain or provide additional information. We use this data to establish and maintain a responsible commercial relationship with you and to provide ongoing service. To understand your needs and preferences we maintain a record of the products and services you receive from us and we may ask for additional information so that we can serve you better. For example we may record your preference for a particular room. We may also tell you about offers and information you have asked us to tell you about. If you change your mind and no longer want to receive emails from us regarding offers then you can email us at any time on info@burtonhotel.co.uk We may also collect information about your usage of our website as well as information about you from messages you post to the website and emails or letters you send to us. We do not rent or trade email lists with other organisations and businesses.
When someone visits www.burtonhotel.co.uk or www.hotelherefordshire.co.uk we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone.
Where Your Data Is Stored
We store your data on our secure server which is fully PCI compliant. Some data such as name, email address, telephone number, address and rooms or services used at the hotel are filed as hard copies. These are kept secure and are only accessed by authorised staff. We keep this information for up to five years after which it is securely disposed of.
Credit and debit information is kept for up to one month after the date of your visit, at which point it is securely disposed of. If your reservation is made through a third party booking agent they may also store data about you and you should read their privacy policy regarding this.

the volume of data which you use
This information is not retained by us and cannot be used to identify you.
Access to Personal Information
